How to enter

Take A Step Towards The Spotlight 

In all cases we want you to show why your event was unique, why it was special.  Did you have to overcome obstacles?  Was it innovative?

The judges will be looking for evidence of clear strategic thinking, innovation and effectiveness and the key factor will be the tangible results and proof of effectiveness. In particular the judges will be looking for:

-Understanding of the brief or objective
-Tangible results which prove effectiveness
-Innovative thinking
-Design and creativity

As the awards cover all types of events as well as venues, suppliers and event marketing strategies there are different criteria depending on which category you wish to enter.

So the first step in the process is to decide which category you want to enter - what is it that you want to focus the spotlight on? Is it an event you have organised? Or maybe you are the most creative caterer in Scotland? Or did you orchestrate a fantastic sponsorship campaign for an event this year?

EVENT CATEGORIES

For all event categories, please submit a report containing between 1500 and 3500 words in total and covering the four headings detailed below:

Report Contents

1. Purpose of Event

  • What was the background to the event?
  • Why did you do it?
  • Was there a brief from a client?
  • What was the story?

2. Objectives of Event

  • What did you hope to achieve?

3. Solution

  • What was your strategy?
  • What did you do?
  • What was your operational plan, marketing plan, sponsorship plan?
  • Who were your suppliers and why?
  • What was the duration of the event including build & break down?
  • How was it staffed?
  • Was there co-ordination between venue facilities/production?

4. Results

  • What was the outcome?
  • Why was it a success?
  • Was there something innovative?

Please include details on attendance vs. capacity, exhibitors vs capacity where appropriate, return on investment, audience/attendee feedback, artist/contributor feedback, exhibitor feedback, any press comment/review

MARKETING CATEGORIES

For all marketing categories, please submit a report containing between 1500 and 3500 words in total and covering the four headings detailed below:

Report Contents:

1. Brief and Objectives

2. Challenges Faced

  • Current marketing position/swot analysis

3. Solution

  • Actions taken, target market, method of communication, timescale

4. Results

  • Qualitative and quantitative results, awareness, press coverage if appropriate

VENUE CATEGORIES

For all venue categories, please submit a report containing between 1500 and 3500 words in total and ontaining the following information:

  • State what your unique selling point is
  • Statistics on capacity numbers for conferences/corporate hospitality
  • How many corporate events per year
  • How many corporate hospitality events per year
  • Daily Delegate Rate, if applicable, and what it includes
  • Venue Hire Costs
  • 1 case study of an event including client objective, solutions provided and results.
  • Production facilities on offer
  • Catering facilities on offer
  • Innovation, logistical planning, venue support
  • Include 2 client endorsements
  • Staffing structure
  • Customer service strategy
  • Staff training strategy

SUPPLIER CATEGORIES

For all supplier categories, please submit a report containing between 1500 and 3500 words in total and containing the following information:

  • List services provided
  • List 6 clients or venues (in-house caterer category exempt)
  • Provide a case study on 1 event, including the brief, operation and result
  • Staffing structure and training
  • Service standards
  • 2 Client testimonials
  • Any awards won
  • Sample menus and wine list - catering categories only
  • Bespoke menu created for a themed event (please give client reference) - catering categories only

 

You may enter the same event into more than one category if it is suitable.  Events entered into more than once category will be treated as a completely separate entry.

Please ensure your entry is supplied in the specified format and complies with the word counts and requested information otherwise your entry may be discounted.

When writing your report don't assume the judges have attended the event or seen the campaign or footage. Give clear concise answers on the brief, the objectives and results

Below we describe the easy four-step process.

Step 1 - Register as a member here

Step 2 - Start uploading your entries

Give each entry a unique title - try to avoid generic names e.g. "fundraising event" or "food festival"

You can amend your entries up until the moment you move to check out.


Step 3 - You're happy with your finalised entries

  • Go to check-out and complete your summary entry form.
  • Move to payment and your entries are ready to be judged.
  • Once your entries are received and payment is authorised, confirmation will be sent to you via email.
  • An invoice will be sent by post for your records after this step.

Step 4 - Payment

The cost of an individual entry is £35 + vat.


If you wish to pay by cheque

  • Please make it payable to Carnyx Group Ltd.

    Once you have finalised your entries go to checkout - this will transfer your entries from basket to account.

    Send your cheque and your account will be marked paid by the organiser and then be ready for judging.
